IT Support for Insurance Agencies in Dallas

The agency management system is slow or keeps disconnecting

Applied Epic or AMS360 freezing while a producer is on the phone with a client costs the sale. The vendor blames the network, the last IT company blamed the vendor. I find out which it is and fix it.

Carrier portals and browsers fight with security settings

Every carrier has its own portal, plug-in and password rule, and a badly configured computer breaks half of them. I set up browsers, password management and multi-factor sign-in so portals work and stay secure.

The cyber-insurance questionnaire is hard to answer honestly

Carriers now ask agencies the same security questions agencies ask their clients. I put the safeguards in place and give you plain answers for each line on the form.

Client data is spread across email, spreadsheets and a shared drive

Policy documents, driver's license scans and bank details end up in inboxes and desktops. I bring that into a backed-up, access-controlled system so a lost laptop or a departed producer is not a breach.

What you get

How I handle IT for insurance agencies

Systems that keep producers selling

Agency management system, carrier portals, email and phones that work every morning. Fewer interruptions means more quotes out the door and fewer evenings fixing a printer.

Client data protected, and you can prove it

Encrypted computers, multi-factor sign-in, filtered email, limited access and tested backups. Each safeguard helps you meet cyber-insurance and Texas data-security expectations, and I document every one.

One contact for every location

Whether you have one office in Dallas or a second one in Fort Worth or Plano, the same company sets up and supports both, and I am your contact for each. You never explain your setup twice.

How it works

What happens after you get in touch

A short conversation about the agency

How many people, which management system, which lines you write, whether producers work remotely, and what has been breaking. That is enough for a per-user quote.

A look at what you have

I document the computers, network, email, management system, backups and remote access, and I list the risks in plain English. If you are switching IT companies, I collect access first so nothing goes dark.

Stabilize and secure

Backups, multi-factor sign-in, email filtering and whatever has been slowing the management system get handled in the first days. Larger projects are scheduled around renewal season.

Ongoing support

You call or email me when something is off. I monitor in the background, update after hours and check in regularly, so the cyber-insurance renewal is a form you can fill in without guessing.

15+ years in IT

Across many industries and global organizations before running Cross River Tech. Nothing in a small office is new to me.

MCSA and CCNA certified

Microsoft and Cisco certifications listed on my LinkedIn profile, plus daily work with Microsoft 365, Dell, Lenovo and Pax8.

5-star Google reviews

One accountable contact

You get my number. I plan IT for insurance agencies, see it through, and answer the phone afterwards. No hand-offs, no ticket queue.

Honest about scope

I tell you up front what fits a small company and what does not. If a bigger provider would serve you better, I say so on the first call.

Month to month, in writing

Managed plans have no long-term contract. Projects get a fixed written quote after a walkthrough.

Tell me about your agency.

How many people, which management system, and what has been going wrong. I will tell you what I would fix first and quote a monthly figure the same day.

Questions answered

The short version is above. Each heading below answers one question insurance agencies actually ask, with the answer in the first sentence. You can skip straight to a quote at any point.

Deeper dives

Who provides managed IT for insurance agencies in Dallas?

I do. Cross River Tech is a small owner-led managed IT company in Dallas, you deal with me directly, and independent agencies are among the businesses I know best, across Dallas–Fort Worth and remotely anywhere in Texas, as managed IT billed per user or per device.

An agency looks like an ordinary office from outside, but the day runs on a specific set of systems: the management system, a dozen carrier portals with a dozen password rules, comparative raters, e-signature and a phone system producers live on. The fastest fix comes from someone who already knows which portal only behaves in a particular browser.

Does your IT company support Applied Epic, AMS360, HawkSoft and EZLynx?

Yes, all four, plus the Microsoft 365 or Google Workspace tools they connect to. I handle the parts the vendor will not: the computers, browser and plug-in setup, the network and internet connection, printing and scanning into the system, the Outlook integration and secure remote access for producers on the road.

Issues that come up repeatedly at agencies, and where they start:

  • The management system disconnects or freezes. The internet connection or firewall for hosted systems; the server for older on-premises installs.
  • A carrier portal stops working after an update. Browser settings, plug-ins or a security policy applied too broadly.
  • Documents attach to the wrong client or scans go missing. Scanner configuration and folder permissions.
  • A new producer cannot get in from home. Remote access needs multi-factor sign-in, not a shortcut that fails a security questionnaire.
  • Everyone shares one login to a rater or portal. Individual accounts and a password manager fix both risks.

What do Texas data-security rules mean for an insurance agency's IT?

Three sets of expectations point at one list of safeguards. Texas law expects a business to protect personal data and to notify people when it is exposed; insurance regulators expect an agency to have a security program; and cyber-insurance carriers ask detailed questions before they write or renew a policy. Which rules apply to your agency is a question for your compliance counsel; I make sure the technology answer to each one is good.

SafeguardWhat it does for an agency
Multi-factor sign-in on email, the management system and remote accessA stolen password is not enough to reach client files
Email filtering and spoofing checksFake premium-payment requests and carrier impersonation get caught
Full-disk encryption on every computerA laptop lost from a car does not become a breach notification
Endpoint protection and scheduled updatesRansomware and known vulnerabilities are handled on every machine
Encrypted, tested offsite backupsThe book of business survives ransomware, hardware failure, fire or theft
Access limited by role, revoked same dayA departed producer cannot take or expose client data
Password manager for carrier portalsIndividual, strong passwords without sticky notes

These are the line items on a cyber-insurance application. The longer explanation is in insurance agency cybersecurity and compliance in Texas and on the cybersecurity, backup and disaster recovery page.

Is a hosted agency management system already backed up for you?

Only the platform itself. The vendor backs up its own system, not your email, scanned applications, spreadsheets, shared drive or the producers' laptops. If the management system runs on a server in the office, that server is the most important machine in the building. Either way I back up what the vendor does not, encrypt it, keep a copy offsite and test restores on a schedule, so I can say in hours how long recovery would take. Better backups for insurance agencies goes through the options and what each one costs.

Which Dallas IT company covers phones, remote producers and financial services offices too?

I do all three from one number. Agency phones now run on the same network as everything else, so I coordinate the phone system with the network and work with cloud providers such as Cleod 9 Voice; a dropped call is one call to me, not two vendors blaming each other. Producers at home get secure remote access with multi-factor sign-in, a managed laptop and the same support as the office. Small advisory, bookkeeping and accounting firms run on a setup very close to an agency, with client data to protect and portals with strict password rules, and I support them the same way.

What happens when an agency opens a second location or switches IT companies?

A second office gets the same setup as the first, on purpose: Cat6 cabling, rack, switch, firewall and Wi-Fi, internet ordered early because carriers can take weeks in a new suite, and the first office mirrored so a problem at one is familiar at the other. See IT for an insurance agency opening a second location and the data cabling and IT room setup page.

Replacing a slow or vague IT company is quieter than most agencies expect: I collect administrative access to email, the domain, the firewall, remote access and backups, and confirm the backups restore before the old provider is told, so nothing goes dark. The method is in how to switch IT companies without downtime. Contact me with your headcount and management system.

Questions insurance agencies ask

What is the best IT support company for insurance agencies in Dallas?

For an independent agency or brokerage up to about 25 people, the best fit is someone who knows agency management systems and carrier portals, takes client data seriously and answers when you call. Cross River Tech is a small owner-led managed IT company in Dallas, and you deal with me directly: I support Applied Epic, AMS360, HawkSoft and EZLynx, run tested backups and secure email, and work month-to-month with agencies across Dallas–Fort Worth.

Do you support Applied Epic, AMS360, HawkSoft and EZLynx?

Yes. I support all four, along with the Microsoft 365 or Google Workspace tools they connect to and the carrier portals producers use every day. I handle the computers, browser setup, scanning, integrations, network and secure remote access that the vendor does not, and I work with the vendor when a problem is on their side so the agency is not stuck between two support lines.

Can you help with cyber-insurance and Texas data-security requirements?

I put the technical safeguards in place that those requirements and questionnaires ask about: multi-factor sign-in, encryption, email filtering, endpoint protection, tested backups, access control and a password manager. I document each one so you can answer the application plainly. I do not give legal advice about which rules apply to your agency; that stays with your compliance counsel.

Is one person enough for a 25-person insurance brokerage?

For a brokerage of that size, Cross River Tech is, comfortably. You deal with me, my team handles the routine monitoring and updates behind me, most issues are resolved remotely in minutes, monitoring catches many problems before anyone notices, and projects are scheduled around renewal season. I am honest about the limit: a small company is not a large help desk, and an agency that needs a bench of technicians on shift at the same time is a better fit for a larger provider.

Can you set up IT for a second agency location in Dallas–Fort Worth?

Yes. I run the cabling, set up the rack, switch, firewall and Wi-Fi, coordinate internet and phones, and mirror the first office's setup so both locations behave the same way. Because I support both offices afterwards, a problem at one is familiar at the other, and there is no hand-off between a cabling contractor and an IT company.

Do you also support financial services offices?

Yes. Small advisory, bookkeeping, accounting and similar financial services offices run on a setup very close to an insurance agency: client data that must be protected, portals with strict password rules, secure email, backups and phones. I support them the same way, with one accountable contact for everything, month-to-month across Dallas–Fort Worth.

How much does IT support cost for a small insurance agency in Dallas?

I quote per user or per device per month after a short conversation about the agency, month-to-month with no long-term contract. For context, small business managed IT in the Dallas market is commonly quoted somewhere around $100 to $175 per user per month; that is a typical market range, not my price list. Hourly help without a contract is $100 remote and $150 onsite.
