All of it, which is the honest answer and the one nobody enjoys. A membership bundles an entire small IT department into a monthly fee, and moving into your own suite unbundles it in a single day. Nothing in the list below is expensive on its own; the shock is that it all arrives at once, and that two items have lead times measured in weeks.

First private offices are one of my favourite projects, because the business is usually doing well enough to need the space, and because the whole thing can be genuinely finished before opening day if the two long-lead items are started early.
What did the coworking space silently provide?
More than the marketing listed, and the invisible items are the ones that hurt. Working through this list with a client is usually the moment the project scope becomes clear.
- A business internet circuit, sized for a whole building and shared. You never saw the order, the term or the install.
- Wi-Fi designed for the space, with several access points, so coverage was never something you thought about.
- A firewall and network isolation, keeping your laptops from being visible to the other members. That isolation is why nothing bad happened while you were surrounded by strangers on the same connection.
- A guest network for visitors, already separate from anything that mattered.
- Printing and scanning, including the drivers, the supplies and whoever cleared the jam.
- Meeting room technology, a screen that worked with a laptop and a camera for calls.
- Physical security, a staffed desk or badge doors, cameras, and someone who noticed strangers.
- Mail and package handling, which sounds trivial until deliveries start arriving to a locked suite.
- Someone to ask. Not an IT provider, but a person on site who solved the small things, which quietly absorbed a lot of friction.
What the space almost certainly did not provide, and what you should check you have had all along, is backup of your own data, control of your own domain and email tenant, and multi-factor authentication on every account. Those were always yours, and a surprising number of small businesses discover during a move that nobody has looked at them.
What order should you buy things in?
Longest lead time first, then anything that has to happen before the walls close, then everything that can be bought in a week. Buying in this order is what turns a stressful move into a boring one.
- Internet, the week you sign. Ask the property manager which carriers already serve the building, order in your business name, request a static public address, and get the install date in writing.
- The IT room decision, the same week. A small room or a proper wall space with power and some ventilation, not a sealed cupboard behind the coats. The carrier and the cabling crew both need this answer.
- Cabling, before construction closes the walls. Two drops per desk, one per printer, one per ceiling access point, one per camera, one per conference display, plus spares. Cheap now, disruptive later.
- Firewall, switch and access points, ordered early enough to be configured before they are mounted.
- Door access, alarm and cameras, if you are taking those on, because they share pathways and ceilings with the data cabling and are much cheaper installed at the same time.
- Computers and monitors, if the team is growing at the same time as the move. Business-class machines, one model where possible.
- Printer and scanning, chosen for how much you actually print rather than for the leasing brochure.
- Phones, a cloud system with any existing number ported, which runs on its own multi-week clock.
- Meeting room screen and camera, last, and simpler than most vendors will suggest.

How far ahead do you have to start?
Four to six weeks is comfortable for a small suite, and the two items that decide it are the carrier and the cabling. Here is what each piece realistically takes.

Can you just use a home-style router in your own office?
You can, and it is the most common false economy in a first office. A consumer router is designed for a house with a handful of devices and one household. An office suite has hard walls, twenty devices per ten people, guests who need internet but not your files, printers that need stable addresses and phones that need priority on the line.

The gap in price between the two is real but modest compared with the cabling and the lease, and it is the difference between a suite that behaves like an office and one that behaves like a house with too many people in it. What security becomes your responsibility now?
The parts the building used to absorb, plus the parts that were always yours and were easy to postpone while somebody else ran the network. Take them in this order.
- Multi-factor authentication on every account. Email, file storage, banking, payroll, and any system holding client data. This was always your job, and it is the single highest-value hour in the list.
- A guest network that goes nowhere near your files. Visitors, contractors and personal phones belong on a separate network, exactly as they were at the coworking space without you noticing.
- Backup you can restore from. Cloud services keep your data available; they are not a backup against deletion, a departing employee or ransomware. A tested backup of both devices and cloud data is the difference between an incident and a disaster.
- Endpoint protection and updates on every machine, managed centrally rather than trusting each person to click the notification.
- Physical security of the IT room. A rack in an unlocked space in a suite with a cleaning crew and deliveries is a different risk profile from a staffed coworking floor.
- Someone who notices. The quiet value of a managed arrangement is that patching, backup checks and expiring licenses are watched between the days when something is visibly broken.

What catches first-time office tenants out?
Six things, consistently, and all of them are cheaper to plan for than to discover.
- Internet ordered too late. This is the big one. The lease is signed, the furniture is ordered, and the carrier is called with two weeks to go. Everything else in this article can be recovered from; that one cannot.
- Existing jacks that do not work. A suite with network sockets on the walls looks cabled. Without labels and test results, it is unproven. A tester run through every drop is a small cost that tells you exactly what you have.
- The IT room being an afterthought. If nobody claims a space, the rack ends up in a windowless cupboard with no ventilation, which is where equipment goes to die in a Dallas summer, especially if the building cooling drops out during a storm.
- Printing. Everyone forgets the printer until the first day someone needs to scan a signed document, and then discovers it needs a network address, drivers on every machine and a scan destination that actually works.
- Packages and deliveries. There is no front desk now. Equipment worth thousands is scheduled to arrive at a suite that might be locked, which is worth a plan of its own during a build-out.
- Nobody to ask. The small friction the coworking staff absorbed now lands on whoever in the team is least able to say no. Deciding early whether that is an hourly arrangement or a plan avoids the accidental IT person problem.

What does it cost, and who does the work?
The budget splits cleanly into one-time and recurring, and the one-time side is dominated by cabling and hardware rather than labour. Here is the shape of it, without pretending a number applies to every suite.

On my side of it: project work is quoted as a fixed price after a walkthrough, so there is no hourly surprise on a job with a deadline. Occasional help afterwards is billed at the published break/fix rates of $100 an hour remote and $150 an hour onsite during business hours, with a one-hour minimum. Everything else, including computers, accounts and phones, can be arranged in the final two weeks without drama if those two are already moving.
Can we take the coworking internet speed as a guide for our own?
Not directly, because a coworking connection is sized for a whole building and shared across dozens of members. Size yours on your own workload instead: how many people, how much cloud file syncing, how many concurrent video calls, whether backups run during the day, and whether the phones are voice over IP. Upload speed is the number that matters most and the one carriers advertise least.
Do we need a server now that we have our own office?
Usually not. Most small offices leaving coworking are already working entirely in Microsoft 365 or Google Workspace, and adding a server introduces hardware to maintain, power, cool and back up. The exceptions are specific applications that require one, or very large local files such as design and imaging work. If you do not have a clear reason, staying cloud-first is cheaper and far less exposed to a power cut.
Is the cabling in our new suite usable if it already has network sockets?
Only once it has been tested. Sockets on a wall prove nothing about what is behind them: the cable may be an older category, damaged, badly terminated or not connected to anything. A tester run through every drop is inexpensive and tells you which jacks work, which need re-terminating and how many new runs to budget for, which is much better than finding out on your first morning.
Do we need a monthly IT plan or can we call when something breaks?
Both are legitimate. Small teams with everything in the cloud and no server often do fine calling hourly for the occasional problem. A plan makes sense when a lost morning costs real money, when you hold client data with obligations attached, or when nobody in the office wants to own patching, backup checks and licenses.
