Cabling is priced per drop, and the drop count, the ceiling, the distance to the IT room and the building rules move the number more than the cable itself. Here is how to read a quote and get an accurate one.

The short answer: cabling is priced per drop, and the drop count decides most of it

Structured cabling for an office is almost always quoted per drop. A drop is one cable run from the IT room to one wall jack, terminated at both ends and tested. If your office needs 30 jacks, you are buying 30 drops, plus the patch panel and rack they land on.

As a typical market range, not my price: in Dallas, a standard Cat6 drop in an office with an accessible drop ceiling is commonly quoted somewhere around $150 to $350 per drop, with the low end for short, easy runs done in bulk and the high end for long runs, hard ceilings, plenum cable or after-hours work. Multiply that by your drop count and you have the rough shape of the job before the IT room equipment is added.

I do not publish a per-drop price for my own cabling work, and I would be cautious of anyone who quotes a firm number without seeing the space. I quote after a walkthrough or after reading your plans, because two 5,000 square foot suites can cost very different amounts to wire. The rest of this article explains why, so you can read any quote, mine included, with confidence.

What is actually inside a per-drop price?

When a cabler says "per drop", that number is meant to cover a whole unit of work, not just the cable. Ask what is included, but in general one drop covers:

  • The cable itself, usually Cat6, in whatever jacket the building requires (riser or plenum, explained below).
  • Pulling the cable from the IT room through the ceiling and down the wall to the jack location.
  • Terminating both ends: a keystone jack in a faceplate at the desk and a port on the patch panel in the IT room.
  • The parts: jack, faceplate, low-voltage mounting bracket, J-hooks or other supports in the ceiling, and the patch panel port.
  • Labelling at both ends so port 14 on the panel matches jack 14 on the wall.
  • Testing each run with a cable tester to confirm it passes for the speed the cable is rated for.

What is often not inside the per-drop figure: the rack, the patch panel hardware, patch cords, the switch and firewall, core drilling through concrete, firestopping where cable passes through rated walls, and lift rental for high ceilings. Those show up as separate lines. When one quote looks cheaper per drop than another, check whether those lines moved rather than disappeared.

One more thing to ask: are two jacks in one faceplate counted as one drop or two? Most cablers count each cable as a drop, so a double-gang plate with two jacks is two drops. That is the honest way to count it, but it catches people out when they compare bids.

How many drops does a 5,000 square foot office need?

The most useful thing you can do before asking anyone to quote is count. Walk the plan and mark every place a cable should land. For a typical 5,000 square foot professional office in Dallas, the count usually lands somewhere between 25 and 50 drops. Here is where they come from:

  • Desks: two per workstation is the standard I recommend, one for the computer and one spare for a phone, a docking station or a future need. Fifteen desks becomes 30 drops.
  • Private offices: two on the desk wall, sometimes a third on the opposite wall for a TV or a second desk.
  • Conference rooms: two to four, for a display, a video bar, a table connection and a spare.
  • Printers and copiers: one each, at the actual location, not "somewhere near".
  • Wi-Fi access points: one per access point, run to the ceiling location. A suite this size usually needs two to four. See how I place office access points.
  • Reception, break room, cameras, door access, TVs: one each, and these are the ones people forget.

Running a few extra drops during the build-out is far cheaper than adding one later. Once the ceiling is closed and the furniture is in, a single added drop can cost several times what it would have cost as part of the original job, simply because someone has to come back, open things up and set up again.

What makes one office cost more to cable than another?

Two suites with the same square footage and the same drop count can come back with very different numbers. These are the factors that move a cabling quote in Dallas, roughly in order of how much they matter:

  1. Ceiling type. A drop ceiling with lift-out tiles is the easy case. Hard drywall ceilings, exposed ceilings that need cable in conduit or neatly dressed, and older buildings with no ceiling path at all take much longer.
  2. Distance to the IT room. Long runs use more cable and more labor. Cat6 also has a length limit of about 295 feet for the horizontal run, so a poorly placed IT room can force a second closet or a different design.
  3. Plenum requirements. If the space above the ceiling is used to return air to the HVAC system, code requires plenum-rated cable, which costs noticeably more per foot than riser cable. Many Dallas office buildings have plenum ceilings.
  4. Working hours. Occupied buildings often require noisy or disruptive work after hours. That raises labor cost.
  5. Building rules. Some property managers require specific firestopping, insurance paperwork, badge escorts or a union-style approval process. All of it adds time.
  6. Wall construction. Fishing cable down an existing finished wall is slower than dropping it into an open stud wall before drywall goes up.
  7. Concrete and demising walls. Anything that needs core drilling or a firestopped penetration is a separate line item.

The single best way to lower the price of an office cabling job is timing. If you can get the cabler in while the walls are open and before the ceiling grid is loaded with tile, the labor drops sharply. That is why I ask to be brought in early on new office projects, before the general contractor closes things up.

Does Cat6a or fiber change the price much?

For most small Dallas offices, Cat6 is the right answer and the cost baseline. Cat6a is thicker, stiffer and more expensive per foot, and it takes longer to terminate, so a Cat6a drop typically runs meaningfully higher than a Cat6 drop. It buys you 10 gigabit speeds over the full run length, which matters for imaging, video production, large file servers or a building you want wired for a long time. For a law office or an insurance agency running Microsoft 365 and a couple of printers, that extra speed will sit unused.

Fiber between rooms or floors is a different conversation. It is usually priced as its own line, because the terminations require different tools and skills. It makes sense when you have two IT closets, a long run between buildings, or a backbone that needs to carry many users.

I go into the trade-offs in Cat6 vs Cat6a vs fiber for an office build-out. The short version for budgeting: quote everything in Cat6 first. Then, if your work involves large imaging files or you expect the space to serve you for a very long time, ask for the Cat6a difference as a separate number and decide with the real figure in front of you rather than guessing.

The line that surprises people most is the last equipment row. Many cabling contractors stop at the patch panel. They hand you a beautifully terminated rack with nothing plugged into it, and then you need someone else to supply and configure the switch, firewall and Wi-Fi. Because I do both the cabling and the network, my quotes include the rack and patch panel installation and the equipment setup on the same sheet, so there is no gap between "the cable is in" and "the office works".

How do I get an accurate cabling quote for my Dallas office?

You get a real number by giving the cabler real information. Here is what I need to quote structured cabling, and it is the same list any careful contractor will ask for:

  1. A floor plan, even a rough one, showing desks, offices, conference rooms, the printer locations and where the IT room or closet is. A PDF from the architect or the leasing office is ideal.
  2. A drop count, or permission to work one out from the plan using the guide above.
  3. The ceiling situation: drop tile, hard ceiling or exposed, and whether the space is plenum.
  4. Whether the walls are open. New construction and mid-renovation spaces are cheaper to wire than finished ones.
  5. Building rules: after-hours requirements, paperwork the property manager wants, and any restriction on drilling.
  6. What lives in the IT room: whether you need a rack, a patch panel, a switch, a firewall and access points supplied and configured, or only the cable.

How to keep cabling affordable without regretting it later

"Affordable" should mean the right job at a fair price, not the cheapest bid. A few things genuinely lower the cost without lowering the quality:

  • Schedule it before the ceiling closes. This is the biggest saving available and it costs you nothing but planning.
  • Put the IT room in a sensible spot. A closet near the middle of the suite keeps every run short. A closet in the far corner makes every run long.
  • Combine trips. Cabling, rack installation and network setup done as one project by one company avoids paying for the same site visit twice.
  • Do not skip drops to save money. Cutting the spare jack at each desk saves a little now and costs much more the first time someone needs it.
  • Stay with Cat6 unless you have a specific reason. It is the best value for almost every small office.

And a few places where the cheapest bid tends to go wrong: no test results, so you find the bad run on move-in day; no labels, so every future change means tracing cables; riser cable used in a plenum ceiling, which is a code problem the building inspector can make you fix; and a contractor who leaves once the panel is punched down, so you are stuck finding another company to make the network actually work.
